Bulk Editor
Learn how to update multiple locations using the Bulk Editor
Table of Contents
Overview
Bulk Editor lets you update the same fields across many locations at once, instead of editing each location individually. Pick your locations, choose what to change, review a summary, and either apply the changes immediately or schedule them for a future date.
Changes run as a background job — the system processes each location individually and shows a progress bar while it works. A bulk update can partially succeed (some locations updated, others failed) rather than being all-or-nothing.
How to access it
Go to the Location List. If eligible, click the Bulk Edit button (pencil icon) in the top navigation, then choose Editor from the options menu.
| 💡 Tip: If you selected locations (or used Select All with filters) on the Location List before clicking Bulk Edit, those locations carry over automatically into the editor. |
The Bulk Edit button is only shown when you manage more than one location and have edit rights to at least one bulk-editable field. If your account has Location Approval Flow enabled, only Approvers can access Bulk Editor.
How to use it
Step 1 — Select locations
Choose locations by business, label, or group, or use what was pre-selected from the Location List. Only locations with status Active or Cancelled can be selected.
Step 2 — Choose what to edit
Three tabs appear once at least one location is selected: Basic, Rich data, and Photos/Media. Edit whichever fields you need across all selected locations. Only fields you fill in will be changed — any field left blank is left untouched on the selected locations.
Step 3 — Append or Overwrite
For fields that accept multiple values (labels, photos, keywords, categories, payment options, and others), choose how your new values are applied:
| Option | What it does |
|---|---|
| Overwrite | Replaces all existing values with what you entered. Use this to standardise information across all selected locations. |
| Append | Merges your new values with what's already there. Use this when you want to add values without removing existing ones. |
Fields like name, opening hours, and description always overwrite — the Append option is not available for them.
| ⚠️ Field limits apply when appending. If a location is near its limit (e.g. 8 of 10 allowed categories), the system fills up to the maximum using your values in the order entered and ignores the rest. This can vary per location — some locations may receive all your values, others only a few. |
Step 4 — Review
A confirmation screen shows every field being changed, the action (Overwrite or Append), and the full list of affected locations. You can switch between Overwrite and Append here, or click Back to adjust your edits.
| ⚠️ Changing a location's status or temporarily-closed setting, or overwriting its name or categories, triggers an extra confirmation step — these are treated as high-impact changes because they are highly visible to customers. |
Step 5 — Save now or Schedule
Choose how to apply your changes:
- Save — applies changes immediately. A progress bar shows how many locations have been processed.
- Schedule update — opens a date/time picker. Changes are applied automatically at the chosen time. You can view, reschedule, or delete scheduled updates in the Scheduled Updates area before they run.
Update statuses
| Status | What it means |
|---|---|
| In progress | Processing — shows percentage complete based on how many locations have finished |
| All succeeded | Every selected location was updated successfully |
| Partially succeeded | Some locations were updated, others failed — the results screen breaks down the count |
| All failed | No locations were updated |
For scheduled updates: after clicking Schedule you'll see a confirmation that the schedule was created — this only confirms the schedule exists, not that changes have been applied yet. The actual field changes happen at the chosen date and time.
What can be bulk-edited
Bulk Editor works on a fixed set of fields: name, categories, opening hours (regular, special, and more hours), descriptions, keywords, labels, social profiles, attributes, brands, payment options, photos, videos, action links, and temporarily-closed status.
Fields like address, phone number, website, and email cannot be bulk-edited. If a field doesn't appear in the Basic, Rich data, or Photos tabs, it is not supported by this feature.
| 📌 The Bulk Edit button also offers Excel Import — a separate tool for spreadsheet-based imports. If you are uploading a file to update locations, that is a different tool from the one described here. |
FAQ
Why don't I see the Bulk Edit button?
The most common reasons: you manage only one location (the button requires more than one), you don't have edit rights to any bulk-editable field, or Location Approval Flow is enabled on your account and you are not an Approver.
A bulk update says "partially succeeded" — what does that mean?
Some of your selected locations were updated successfully and others failed. No data is lost — locations that succeeded keep their changes. Only the failed ones need attention. This is expected behaviour since each location is processed independently.
I submitted a bulk update but nothing happened for a while — is that normal?
Yes. Bulk Editor runs as a background job, not an instant update, so there is a visible progress bar while it processes each location. Larger batches take longer.
Why did overwriting a field remove data I expected to keep?
Check whether that field was set to Overwrite instead of Append. Overwrite fully replaces existing data with the new value. Some fields (like name and opening hours) only ever overwrite — Append is not offered for them.
Can I cancel or change a scheduled update after creating it?
Yes — scheduled updates appear in the Scheduled Updates area where you can view, reschedule, or delete a pending update before its scheduled time.
Why did a scheduled update apply less than I expected?
Each location in a scheduled update is processed independently and can partially succeed, fully succeed, or fail. Check the Scheduled Updates section to see what happened for the specific location.
Why did the system ask for extra confirmation before saving?
Changing a location's status or temporarily-closed setting, or overwriting its name or categories, always triggers an extra confirmation step. These are treated as high-impact changes because they are highly visible to customers.
Is there a limit to how many locations I can bulk-edit at once?
No hard limit. Very large batches will complete — they just take longer to process.
Is Bulk Editor the same as the Excel Import?
No — they are two different tools available from the same Bulk Edit button menu. Bulk Editor changes fields directly in the UI across your selected locations. Excel Import works from an uploaded spreadsheet file.
