    Overview

Spreadsheet Export lets you download your location data as an Excel (.xlsx) file, containing exactly the locations and filters you have active at the time. Use it to review or audit data offline, share a snapshot with your team, or prepare a file for re-import via Bulk Import.

    Who can use it

    Role Access
Admin / API Admin Full access, including admin-only label columns
Account Manager Full access; admin-only labels excluded
Business Manager Full access; admin-only labels excluded
Location Manager No access — the Export button is not shown

    Where to find it

Click the Export button in the top-right action bar of the Locations page. The button stays disabled until you select at least one location. It is not available on mobile screens (screens narrower than 768 px).

    How to export your locations

    1. Go to the Locations page.
    2. Apply your filters — status, country, labels, sync status, and so on. The export will include only the locations that match your active filters.
    3. Select locations — check individual rows, or click Select All to include everything that matches your filters.
    4. Click Export. A loading indicator appears while the file is being generated.
    5. The file downloads automatically to your browser's default download folder. The filename follows the format: {partner-name}_{date}.xlsx

Large exports may take a few minutes to generate — this is expected. The file is ready when it appears in your downloads.

💡 Tip: The file is designed for round-tripping — you can re-import it via Bulk Import to update your locations in bulk. The last three columns (end date, Google status, Facebook status) are informational only and will be ignored on re-import.
📌 Note: Some columns only appear when specific features are enabled for your account — for example, temporarily closed status, sublocality, or DoctorCom provider fields. If a column you expect is missing, it may not be enabled for your account.

    FAQ

Why is the Export button greyed out?

The button only becomes active once you have selected at least one location. Check the location checkboxes, or use Select All to select everything that matches your current filters — the button will enable as soon as a selection is made.

Why can't my Location Manager see or use the Export button?

The Export button is intentionally hidden for Location Managers — this is by design and cannot be overridden. The only way to give them access to export is to change their role to Business Manager or above.

The export failed — what should I do?

Click Export again — there is no automatic retry. A one-off failure on large selections is not unusual; a second attempt usually succeeds. If the export keeps failing on the same filter or selection, contact your account admin or the technical team with the details so they can investigate.

Why does a cell in my file say "Too many characters: unable to display field contents"?

Excel has a hard limit of 32,767 characters per cell. If a field — such as a long description — exceeds that limit, the export shows this placeholder text instead of the real value. Your original data is not lost, and re-importing the file will not overwrite that field with the placeholder text.

Why are some columns missing from my export?

Some columns only appear when a specific feature is enabled for your account. If you expect to see columns for temporarily closed status, sublocality, or DoctorCom provider fields and they are not there, check with your account admin whether the relevant feature is active for your account.

How many locations can I export at once?

There is no row limit — all locations matching your filters and selection are included in every export. Very large exports (thousands of locations) may take a few minutes to generate, which is expected behaviour.

Can I schedule or automate the export?

No — the export only runs when you manually click the Export button in the Locations page. There is no scheduling, recurring export, or background job available for this feature.

The Export button isn't showing on my phone or tablet — why?

The Export button is intentionally hidden on screens narrower than 768 px. Switch to a desktop browser to access the export.
